Job Overview: Playhouse in the park is seeking a dedicated, patron-oriented, and detail-oriented Administrative Assistant to support our mission of providing quality community theatre experiences. The ideal candidate will be a proactive team player with a passion for the arts and strong organizational skills. This role is essential for ensuring our day-to-day operations run smoothly and efficiently, and to give any support to the Executive Director.
What qualifications we need:
High school diploma or equivalent; experience in arts administration or non-profit is a plus.
Strong organizational skills and attention to detail. Dependability is a requirement.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite, Google Suite, and familiarity with social media platforms, Canva. Experience with Squarespace is helpful, not required.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Passion for community engagement and the performing arts.
A valid driver’s license.
Ability to lift 30 pounds.

Key Responsibilities:
Office Management:
Maintain organized filing systems, both digital and physical.
Manage incoming calls, emails, and correspondence with professionalism and courtesy.
Keep website and social media current.
Maintain cleanliness of annex/theatre spaces, including: restrooms, concessions, kitchen area.
Manage and sort incoming parcels and packages.
Collect and mail scripts back as needed.
Communicate with directors for concept design of marketing materials, while maintaining copyright laws.
Scheduling & Coordination:
Assist in scheduling meetings, rehearsals, and events in the annex and theatre.
Coordinate logistics for performances, including ticket sales (LUDUS), season ticket holders, and flex passes.
Maintain Google calendar and verify that it matches the main calendar in the executive director's office and community calendars.
Correspond with parents during camp weeks, this includes ticket sales, daily emails to parents, and after camp duties.
Comply with the marketing schedule for each show that Playhouse produces.
Community Engagement:
Act as a liaison for community members, answering inquiries and providing information about upcoming events.
Assisting with advertising and Sponsorships.
Financial Support:
Assist with bookkeeping tasks, such as processing invoices, tracking donations.
Support fundraising initiatives and donor communications.
Event Support:
Help organize and execute community events, workshops, and performances (when needed).
Provide on-site assistance during events, ensuring all operational needs are met (when needed).
Assist the Executive Director when needed for box office sales.
Collaboration:
Work closely with the production team, marketing team, and volunteers to support various projects.
Maintaining support for the Executive Director when needed.
